Ambifest Ltd ("Ambifest", "we", "us") is a volunteer-run community organisation. This policy sets out our approach to keeping attendees, volunteers and partners safe at Ambifest socials and Ambi Con.
Venue safety
Ambifest events are held at partner venues (bars, community centres, hostels and event halls) who hold their own fire risk assessments, capacity limits and health & safety procedures. Our volunteers work with venue staff and follow all venue instructions, including fire exits and evacuation routes, which are pointed out at the start of each event.
Age & supervision
Our general Ambifest socials are aimed at adults (18+). Ambi Con welcomes under-18s, but a Child ticket must be bought alongside an Adult ticket in the same order, and that accompanying adult must stay with the under-18 attendee for the whole visit — a Child ticket is not valid on its own.
Alcohol
Where alcohol is available at an event (for example, at a partner bar or the Ambi Con hostel weekend), it is supplied and licensed entirely by the venue — Ambifest does not supply, sell or serve alcohol. Venues operate a Challenge 25 policy with ID checks at the point of sale.
First aid & emergencies
The nearest first aider or venue staff member is pointed out at the start of each event. In a medical emergency, call 999 immediately and alert a volunteer or venue staff member. Please report any accident, injury or near-miss to a volunteer on the day, or afterwards to info@ambifest.com.
Fire safety & evacuation
Please familiarise yourself with the nearest fire exit on arrival and follow venue staff instructions in the event of an evacuation. Do not use lifts during a fire alarm.
Accessibility
We try to choose venues with step-free access where possible. If you have accessibility requirements, please get in touch ahead of the event at info@ambifest.com so we can help plan your visit.
Cosplay & prop safety (Ambi Con)
Cosplay is welcome and encouraged. Costumes must be family-friendly, and sharp, bladed or functional prop weapons are not permitted without prior approval — see the Ambi Con FAQ for full details.
Photography & recording
Photography is limited to phones and standard cameras. Wearable recording devices (such as smart glasses) are not permitted, to protect the privacy of other attendees. At some Ambifest socials, photography is paused entirely once certain sessions begin, to keep the space feel safe and creative.
Behaviour
We have zero tolerance for harassment, discrimination or abusive behaviour. See our Code of Conduct for full detail and how to report a concern.
Reporting a concern
If something doesn't feel right, please speak to any Ambifest volunteer on the day, or email info@ambifest.com. We take every report seriously.
